Your project information deserves careful handling.
The Ground Beneath requests only the information needed to understand and respond to consulting inquiries, perform accepted work, and maintain appropriate project records.
Information you choose to provide
When you submit an inquiry, we collect the contact information, property context, laboratory reports, photographs, management history, concerns, and project goals you choose to provide. We also retain the date and version of the acknowledgments you accepted, basic device information, and a one-way security hash of the submitting network address when available.
How it is used
We use this information only to evaluate fit and scope, identify missing information, communicate with you, provide accepted consulting services, protect the intake system, create and deliver the agreed work, invoice for accepted work, and maintain necessary business records.
Laboratory reports and property material
Reports and supporting files are stored in private object storage and are not placed in public website folders or attached to routine notification emails. They are treated as confidential client material. We do not sell them or use them to train public AI models. We do not publish them, use them in advertising, or present them as examples without separate written permission and appropriate de-identification.
Service providers
Information may be processed by vendors that provide secure website hosting, database and file storage, email delivery, invoicing, payment processing, and document delivery. These providers receive only the information reasonably necessary for their function. Card details are entered directly with the payment processor and are not stored by The Ground Beneath.
Retention and deletion
Unaccepted, declined, abandoned, and missing-information inquiries—including uploaded files—are scheduled for deletion 30 days after submission unless you remain actively engaged in supplying requested information. Accepted project files are retained during the engagement and for seven years after completion so we can support the report and maintain appropriate business records. Payment, tax, consent, dispute, and other records may be retained as required by law or legitimate business obligations. When a deletion is completed, file objects and associated intake records are removed from active storage; provider backups expire on their normal protected-backup cycle.
Your choices and privacy requests
You may ask whether we hold your intake information and request access, correction, or deletion. We will verify the request before acting and generally complete eligible requests within 30 days. Some records may be retained when required for legal, tax, payment, security, or dispute purposes. Send privacy requests to ground@billybreathes.com.
Consent and service boundaries
Submitting an intake authorizes The Ground Beneath to review the supplied material and contact you about the request. It does not create a consulting engagement, authorize payment, or guarantee acceptance. If the request is a fit, Billy will confirm scope, price, turnaround, and any missing information before sending an invoice or beginning analysis.
